Accounting

Accounting built from your daily trading

Owwel keeps the books of a trading business as the day happens. Each sale, bill, expense, stock movement and transfer is recorded once, and from it Owwel keeps accounts receivable and payable, values stock first in, first out, reconciles cash, M-Pesa and bank every day, and produces the profit and loss and the other statements.

Bills & Accounts Payable

Leave a bill unpaid and settle it later, in part or in full, and always know what you owe each supplier.

How expenses and bills work
  • An expense can be recorded as unpaid, then settled later from cash or any account, fully or in parts.
  • Suppliers have purchase orders, purchase invoices and payments, with the balance owed to each one kept current.
  • Each supplier's ledger lists every invoice and payment and what is still owed.
  • Staff who paid for something themselves are tracked until they are reimbursed.

Accounts Receivable & Customer Statements

Sell on credit to a named customer, take part payments and know exactly who owes you.

How customer credit works
  • Credit sales at the till or on an invoice, against a named customer, with part paid now if they pay something.
  • Each repayment is applied to the invoices it settles, so a part payment is never ambiguous.
  • Invoices carry a due date, and each customer shows what is overdue.
  • Every customer has a statement of every invoice, payment and balance, ready to print.

FIFO Inventory Valuation & Real Cost of Goods Sold

Every delivery is a dated batch with its own cost, and the oldest batch is sold first.

How stock control works
  • Each delivery becomes a batch with its own unit cost and expiry date.
  • Sales draw on the oldest batch first: first in, first out.
  • Cost of goods sold uses the cost of the batches actually sold, so profit reflects what that stock really cost.
  • Purchases, sales, returns, transfers, expiry, damage and write-offs are movements in a stock ledger, so every unit is explained.

Daily Bank & Mobile-Money Reconciliation

Close each day by checking counted cash, M-Pesa, bank and card against what the day's trading says you should hold.

How the daily close works
  • Cash and each mobile money, bank and card channel are checked separately, so one channel's surplus never hides another's shortfall.
  • Each day is marked balanced, a minor variance or one to investigate, while someone can still explain it.
  • Deposits and transaction costs are recorded on the day they happen.
  • The reconciliation summary lists every day that needs a second look.

Inter-account Transfers & Bank Charges

Move money between cash, M-Pesa and the bank, and the fee is counted as a real cost.

How payment channels work
  • Cash and every mobile money till, paybill, bank account and card terminal are separate accounts with their own balance.
  • A transfer is recorded out of one account and into the other.
  • The transfer fee is written into expenses, so bank and mobile money charges are never lost.
Enterprise plan

Equity & Director's Loan Accounts

Money the owner puts in or takes out is recorded as capital or a director's loan, kept apart from sales and profit.

What the Enterprise plan includes
  • Record money put into the business, money taken out and opening balances against the account it moved through.
  • Director's loans in and out are recorded on the day they happen.
  • Owner money never counts as a sale or an expense, so the profit figure stays true.

Equity Accounting & Profit (Dividend) Distribution

Each partner's capital and share of the business is tracked, and only profit is ever paid out.

How profit sharing works
  • Each shareholder's capital and percentage of ownership is kept on record.
  • A distribution can never exceed the profit available, so capital is never paid out as profit.
  • Each share of profit is recorded as withdrawn or reinvested, and reinvested profit raises that shareholder's capital and ownership.
  • A profit statement shows how the profit available for distribution was worked out, with capital and stock purchases shown apart.

Multi-entity, Multi-currency Accounting with Consolidation

Each branch keeps its own books in its own currency, and the owner sees every branch together.

How branches and currencies work
  • Every branch has its own stock, sales, expenses, accounts and currency.
  • Enterprise covers up to 5 separate businesses, each with unlimited branches, under one login.
  • A consolidated report, statement and analytics show every branch of a business side by side, with totals kept per currency rather than converted.
  • Stock moved between branches is recorded out of one and into the other.

Audit Trail for Accountants & Auditors

Who changed what, and when, recorded as it happens.

Everything else included
  • Every record created, changed or deleted is logged by the database at the moment it happens, with the person and the time.
  • Sign-ins, failed sign-ins and file downloads are logged alongside record changes.
  • Any figure can be traced back to who entered it and when.

Expense Management, Budgets & Approval Workflows

Every expense recorded against your own categories, approved, budgeted and never forgotten.

How expense approvals work
  • Expenses are recorded against categories you define, with who was paid and which account the money came from.
  • Expenses recorded by staff can wait for the owner's approval.
  • Monthly budgets per category show spending against plan in green, amber or red.
  • Recurring templates turn rent, utilities and other regular costs into one-click entries.

Commission Expenses Posted to the Books

Commission worked out from real sales and paid straight into expenses.

How commission works
  • Each sale records who made it, and each line can name the staff member who served it.
  • Commission is calculated from completed sales and services rather than by hand.
  • Paying it out by cash or mobile money writes it into expenses, so it never sits outside the books.

Financial Statements & Management Reports

Profit and loss, an income statement and an owner's report, built from the day's trading.

How reports work
  • Profit and loss runs revenue, less the real cost of goods sold, less expenses, so the profit figure can be followed line by line.
  • Every report covers any period and shows its change on the period before.
  • The owner's report exports as a formatted PDF, and every report prints.

Questions about accounting in Owwel

Is Owwel accounting software?

Owwel keeps the books of a trading business as the day happens: accounts receivable, bills and accounts payable, FIFO inventory valuation with the real cost of goods sold, daily reconciliation of cash, mobile money and bank, shareholder equity, and financial statements. The books are built from the sales, purchases, expenses and stock movements already recorded, so nothing is entered twice.

How does Owwel work out the cost of goods sold?

First in, first out. Each delivery is a batch with its own unit cost, sales draw on the oldest batch first, and the cost of goods sold uses the cost of the batches actually sold. Profit and loss then subtracts that real cost from revenue.

Can Owwel track bills and what I owe suppliers?

Yes. An expense can be left unpaid and settled later, in part or in full, from any account. Suppliers have purchase orders, purchase invoices and payments, and each supplier's ledger shows what is still owed.

Can I reconcile M-Pesa and bank accounts in Owwel?

Yes. Each M-Pesa till or paybill, bank account and card terminal is an account of its own. At the end of each day Owwel checks the cash you counted and each account's balance against what the day's trading says, and flags any difference as a minor variance or one to investigate.

Does Owwel handle several companies and currencies?

Yes. Each branch keeps its own books in its own currency. Growth includes up to 3 branches, Professional up to 10, and Enterprise up to 5 businesses with unlimited branches. A consolidated report shows every branch side by side, with totals kept per currency rather than converted.

How are shareholder profits and director's loans recorded?

Shareholders have their capital and ownership on record, and a profit distribution can never exceed the profit available, so capital is never paid out. Each distribution is withdrawn or reinvested as capital. Money an owner puts in or takes out, including director's loans, is recorded apart from sales and profit in the finance module on the Enterprise plan.

Can my accountant work in Owwel?

Yes. Give your accountant their own login with the permissions you choose. They work from the same records the business keeps: every sale, bill, expense, transfer and stock movement, the audit trail of who changed what, and statements that print or export as PDF.

Which financial reports does Owwel produce?

Profit and loss, an income statement, an owner's report as PDF, a reconciliation summary, revenue, expense, cash, inventory and stock detail reports, sales performance, customer statements, supplier ledgers, a shareholder profit statement and consolidated reports across branches.
