FAQ
Questions people actually ask
Straight answers about how Owwel works day to day — the till, the stock room, the cash drawer and the books.
What is Owwel?
Owwel is business management software that combines point of sale, stock control, expenses, staff commissions and end-of-day cash reconciliation in one place. It is built for businesses that run more than one branch, where each branch keeps its own currency, catalogue and books under a single login.
How do I track daily sales and expenses for my shop?
Record sales at the till and expenses as they happen, and Owwel's Data Entry page pulls both together for each day alongside cash received, online payments, director's loans and transaction costs. It shows one closing figure you can check against the money actually in the drawer, so you know before you go home whether the day balanced.
How does end-of-day cash reconciliation work?
At close, you enter the cash you physically counted. Owwel compares it against what the day's sales and expenses say you should be holding, then flags the difference as a variance. Days that balance are marked clean, and days that don't stay flagged with a note so you can investigate them later rather than losing the discrepancy.
Can I manage multiple branches or shops from one account?
Yes. A business can hold up to four branches on a self-service plan, and each one is fully independent — its own currency, products, services, staff and books. You switch between them from the header, and money is never mixed between branches. There is also a consolidated overview when you want to see the whole group at once.
Does Owwel work with M-Pesa and mobile money?
Yes. You can define any payment channel your customers use, including M-Pesa, bank transfer or card, and record sales against it. Banking shows cash in hand and each channel side by side, so mobile money is reconciled with the same rigour as cash rather than being treated as an afterthought.
Can I stop staff from seeing my profit and cost prices?
Yes. Team roles control access feature by feature, with separate view, create, edit and delete permissions. Two additional restrictions hide sensitive figures inside pages a person can otherwise open: Profit & Financials hides profit, margin and COGS, and Cost Prices hides what you paid for stock. A cashier can run the till without ever seeing your margins.
How do I track stock that expires?
Stock is tracked in batches, each with its own expiry date and cost. Owwel consumes the oldest batch first, warns you about items expiring within thirty days, and keeps a movement ledger explaining every unit that entered or left. It suits pharmacies, cosmetics retailers and food businesses where expiry is a real cost.
How do I track customer credit and who owes me money?
Sales can be recorded as credit against a named customer. Owwel tracks the outstanding balance per customer, lets you record repayments against specific invoices, and keeps a statement you can show the customer. You can see total money owed to the business at a glance.
How are staff commissions calculated and paid?
Each staff member's completed sales and services are tracked against them, and Owwel calculates the commission owed. When you pay it out you record whether it was cash or a mobile money channel, and the payment is written into your expenses automatically, so commissions never sit outside the books.
Is Owwel a good QuickBooks alternative for a small business?
It depends what you need. QuickBooks is a general accounting package aimed at bookkeepers. Owwel is built around the daily reality of a shop or salon floor — the till, the stock room, the cash drawer and the staff — with the accounting produced as a by-product of trading rather than entered separately. Businesses that want a formal general ledger and an accountant's chart of accounts may prefer QuickBooks; businesses that want to run the counter and know their numbers without doing double entry tend to prefer Owwel.
Do I need an accountant to use Owwel?
No. The day-to-day work is recording sales, expenses and stock in plain language, and the reports are generated from that. An accountant can still use the profit and loss, cash flow and inventory statements at year end, but you do not need one present to keep the books straight day to day.
How much does Owwel cost?
Every account starts with a fourteen-day free trial with the full product and no card required. After that a subscription runs for one year and is arranged directly with us, which keeps pricing flexible for businesses in different markets and currencies. Contact us and we will confirm the price for your setup.
What happens to my data if my subscription lapses?
Nothing is deleted. An expired subscription drops the account to read-only, so you can still open your books and export anything you need, but recording new entries pauses until you renew. Your records stay intact and become writable again the moment the subscription is active.
Can I use Owwel on a phone or tablet at the counter?
Yes. Owwel runs in a web browser on any device, and the point of sale is designed to work full screen on a phone, tablet or till computer. There is nothing to install and no separate app store download required.
